Thanks for using Rooster! Here we describe how we collect, use, and handle your personal data when you use our websites, software, and services (“Services”).
Who “you” are
You are a user — admin or member — of a Rooster Company Account where you enjoy the extensive features of our recruitment & applicant tracking system.
You have submitted an application including your personal details under one of the job openings on https://rooster.jobs to the organisation that the job opening belongs to.
1.3. Website Visitors.
You are just visiting one of our websites (https://rooster.jobs, https://app.rooster.jobs, https://business.rooster.jobs) because you are curious or you have heard about us from your peers or us!
1.4. Marketing Subscribers.
You have subscribed to any of our mailing lists, forms or notification systems to stay informed about updates and opportunities at Rooster.
What & Why
We collect and use the following information to provide, improve, protect, and promote our Services.
2.1. Your Data.
Our Services are designed as a simple and personalised way for you to store and share your files, documents, photos, comments, messages, and so on (“Your Data”), communicate with others, and work across multiple devices and services. To make that possible, we store, process, and transmit Your Data as well as information related to it. This related information includes your profile information that makes it easier to collaborate and share Your Data with others, as well as things like the time of file uploads and text submissions and usage activity.
2.2. Usage information.
We collect usage information about you whenever you interact with our websites and Services, including which webpages you visit, what you click on, when you perform those actions, what language preference you have, what actions you take in your account (like sharing, editing, viewing, creating and moving data). We use this information to provide, improve, and promote our Services, and protect Rooster users.
2.3. Device information.
We also collect information from and about the devices you use to access the Services. This includes things like IP addresses, operating system version, the type of browser and device you use, device ID/MAC address, system and performance information, the web page you visited before coming to our sites, and identifiers associated with your devices. If you are on a mobile device we also collect the UUID for that device. Your devices (depending on their settings) may also transmit location information to the Services. For example, we use device information to detect abuse and identify and troubleshoot bugs.
2.4. Cookies and other technologies.
To gather metrics about your hiring or job search experience.
To make our site easier to use such as storing your username in a cookie to make it quicker for you to sign in whenever you return to Rooster.
For security reasons such as authenticating your identity.
To provide you with personalized content such as storing user preferences.
To improve our Services and optimize the content we display to you (which may include marketing content).
To advertise to you providing more tailored marketing content (about our Services or other services), and to evaluate whether this content is useful or effective. If you don’t want to receive ads that are tailored to you based on your online activity, you may “opt out” of many of the companies that are involved in such tailoring by going to a trusted service provider. Opting out in this way does not mean you will not receive any ads; it just means that you will not receive ads from such companies that have been tailored to you based on your activities and inferred preferences.
For certain Google Analytics features that support Display Advertising, including re-targeting. Visitors to our websites may opt out of certain types of Google Analytics tracking, customize the Google Display Network ads by using the Google Ad Preferences Manager and learn more about how Google serves ads by viewing its Customer Ads Help Center. If you do not wish to participate in Google Analytics, you may also download the Google Analytics opt-out browser add-on. You can set your browser to not accept cookies, but this may limit your ability to use the Services. We may also use third-party service providers that set cookies and similar technologies to promote Rooster Services. Emails sent by Rooster or by users through our Services also include page tags that allow the sender to collect information about who opened those emails and clicked on links in them. You can choose to remove or disable cookies via your browser settings.
2.5. Log Data. Like most websites today, our web servers keep log files that record data each time a device accesses those servers. The log files contain data about the nature of each access, including originating IP addresses, internet service providers, the files viewed on our site (e.g., HTML pages, graphics, etc.), operating system versions, device type and timestamps.
2.6. Referral information. If you arrive at a Rooster website from an external source (such as a link on another website or in an email), we record information about the source that referred you to us.
2.7. Information from third parties and integration partners. We collect your personal information from third parties where, for example, you give permission to those third parties to share your information with us or where you have made that information publicly available online.
2.8. Marketing. We give users the option to use some of our Services free of charge. These free Services are made possible by the fact that some users upgrade to one of our paid Services. If you register for our Services, we will, from time to time, send you information about upgrades when permissible. Users who receive these marketing materials can opt out at any time. If you don’t want to receive a particular type of marketing material from us, click the ‘unsubscribe’ link in the corresponding emails, or update your preferences on your account settings page. We sometimes contact people who don’t have a Rooster account. For recipients in the EU, we or a third party will obtain consent before reaching out. If you receive an email and no longer wish to be contacted by Rooster, you can unsubscribe and remove yourself from our contact list via the message itself.
2.9. Account Information. If you are are Recruiter we may also collect Account Information, such as:
Registration information. When you register for an account, we collect your first and last name, username, password, email address and company name.
Billing information. If you make a payment to Rooster, we require you to provide your billing details, a name, address, email address and financial information corresponding to your selected method of payment (e.g. a credit card number and expiration date or a bank account number). If you provide a billing address, we will regard that as the location of the account holder to determine the sales tax, if applicable, to be applied to your purchase.
Account settings. You can set various preferences and personal details on pages like your account settings page.Use of some of our Services will also result in us collecting the following data on your behalf:
Your contacts. You may choose to give us access to your contacts to make it easy for you to do things like send messages, and invite others to use the Services. If you do, we’ll store those contacts on our servers for you to use.
Applicant tracking data. We store your applicant tracking data (such as status updates, comments or ratings) for you and provide analysis tools for you to use with respect to this data.
Profile information. When you sign up for our Services you are asked to provide us with information about yourself and/or your organisation and to give us more detailed insights into who you are.
2.10. Bases for processing your data. We collect and use the personal data described above in order to provide you with the Services in a reliable and secure manner. We also collect and use personal data for our legitimate business needs. To the extent we process your personal data for other purposes, we ask for your consent in advance or require that our partners obtain such consent.
We may share information as discussed below, but we won’t sell it to advertisers or other third parties.
3.1. Others working for and with Rooster.
Rooster uses certain trusted third parties (for example, providers of customer support and IT services) for the business purposes of helping us provide, improve, protect, and promote our Services. These trusted third parties will access your information to perform tasks on our behalf, and we’ll remain responsible for their handling of your information per our instructions. For example, we engage third parties to:
Facilitate our email communication to Recruiters, Candidates and Marketing Subscribers;
Facilitate Recruiters in making payments;
Deliver and help us track our marketing and advertising content;
Help us track website conversion success metrics; and
Manage our sales and customer support services to you.
3.2. Other users.
Our Services display information like your name, profile picture, email address, file uploads and usage information to other users you choose to share this information with. If you are a Recruiter, when you register or join your organisation’s Rooster Company Account, we will make some of your basic information—like your name, profile picture, and email address—visible to other users in your team on the same domain. Certain features let you make additional information available to others. If you are a Candidate and interact with a Rooster Company Account or its users, members and representatives of that organisation may be able to view the personal details you shared at the time of that interaction.
3.3. Other applications.
You can choose to connect your Rooster account with third-party services. By doing so, you’re enabling Rooster and those third parties to exchange information about you and data in your account so that Rooster and those third parties can provide, improve, protect, and promote their services. Please remember that third parties’ use of your information will be governed by their own privacy policies and terms of service.
3.4. Recruiter Admins.
If you are a Recruiter, your administrator may have the ability to access and control your personal account under your Rooster Company Account. Please refer to your organisation’s internal policies if you have questions about this. If you share Your Data with a Rooster Company Account or its users, the administrator of that account may have the ability to access and edit what you share.
3.5. Law & Order and the Public Interest.
We may disclose your information to third parties if we determine that such disclosure is reasonably necessary to:
Meet any applicable law, regulation, legal process or enforceable governmental request;
Enforce applicable policies, including investigation of potential violations;
Detect, prevent, or otherwise address fraud, security or technical issues;
Protect against harm to the rights, property or safety of our users, the public or to Rooster and/or as required or permitted by law; or
Facilitate a sale, merger or change in control of all or any part of our company or business or in preparation for any of these events.Stewardship of your data is critical to us and a responsibility that we embrace. We believe that your data should receive the same legal protections regardless of whether it’s stored on our Services or on your home computer’s hard drive. We’ll abide by the following principles when receiving, scrutinising, and responding to government requests (including national security requests) for your data:
Fight blanket requests;
Protect all users; and
Provide trusted services.
We have a team dedicated to keeping your information secure and testing for vulnerabilities. We continue to work on features and automated technologies to keep your information safe such as things like two-factor authentication, encryption of files at rest, and alerts when new devices and apps are linked to your account.
4.2. User Controls.
You can access, amend, download, and delete your personal information by logging into your Rooster account and going to your account settings page.
When you sign up for an account with us, we’ll retain information you store on our Services for as long as your account exists or as long as we need it to provide you the Services. If you delete your account, we’ll initiate deletion of this information after 30 days. But please note: (a) there might be some latency in deleting this information from our servers and back-up storage; and (b) we may retain this information if necessary to comply with our legal obligations, resolve disputes, or enforce our agreements. If you are a Candidate, you will need to ask the Recruiter how long your data will be stored in Rooster Services and your Recruiter’s other domains (which Rooster does not have control over).
4.4. Safety of Minors.
Our Services are not intended for and may not be used by minors. “Minors” are individuals under the age of 13 (or under a higher age if permitted by the laws of their residence). Rooster does not knowingly collect personal data from Minors or allow them to register. If it comes to our attention that we have collected personal data from a Minor, we may delete this information without notice. If you have reason to believe that this has occurred, please contact customer support.
To provide you with the Services, we may store, process, and transmit data in Sri Lanka and locations around the world—including those outside your country. Data may also be stored locally on the devices you use to access the Services.
Your Control and Access of Your Data
You have control over your personal data and how it’s collected, used, and shared. For example, you can:
Delete Your Data in your Rooster account. You can delete your account and the content contained in it through your account settings page.
Change or correct personal data. You can manage your account and the content contained in it, as well as edit some of your personal data, through your account settings page.
Access and take your data elsewhere. You can access your personal data from your Rooster account and you can also ask us for a copy of personal data you provided to us or that we’ve collected, the business or commercial purpose for collecting it, the types of sources we got it from, and types of third parties we’ve shared it with.
